A WhatsApp that answers on its own: what an AI receptionist does and doesn't do

It answers with the info you loaded, books appointments, and hands the chat to you when it doesn't know. Here's a real example of how it looks.

If you run a beauty business, your WhatsApp is your front desk. That's where the price questions come in, the "do you have anything today?", the reference photos, and the last-minute cancellations. And they come in at 10 pm, halfway through a balayage, or on Sunday.

An AI receptionist answers those messages for you. But before you turn it on, it's worth knowing exactly what it does, and above all what it doesn't do, so you don't picture it as smarter or dumber than it is.

What it does

It answers with the information you loaded. Services, prices, duration, hours, address, deposit policy, whether you take kids, whether you accept cards. You write all of that once in your dashboard and every answer comes from there.

It actually books. It checks your calendar, offers open slots with the right person, holds the spot, and sends the deposit link if your policy calls for one. It's not a menu bot with numbered options: it understands "something Friday afternoon with Karla" and replies with concrete times.

  • Replies in seconds, at any hour, in the tone you gave it.
  • Books, reschedules, and cancels by your rules.
  • Collects the deposit through a payment link and confirms when it lands.
  • Sends reminders before the appointment.
  • Lets you know when someone asks for something that isn't in its information.

What it doesn't do, on purpose

It doesn't make up prices. If someone asks about a service you didn't load, it doesn't pull a number out of thin air. It says it will check with you and hands you the conversation. We'd rather have a "let me confirm" than a wrong price you then have to honor.

It doesn't promise things it doesn't know. If a client asks whether you can do a specific nail design or whether an allergy is a problem, the AI doesn't guess. It sends you the conversation with a note about what was asked.

It doesn't replace you where it matters. A complaint, an upset client, an unusual case: that's where a person steps in. The AI recognizes when the conversation leaves its lane and steps aside. You pick it up from your same WhatsApp, with the full history.

What a conversation looks like

Here's a typical exchange. Notice how it answers only with what was loaded and how it wraps up when it doesn't know.

Client Hi, how much is gel polish?
Agenka Hi! Gel polish is $380 and takes about an hour. Want me to hold a spot for you?
Client Yes, something Saturday afternoon
Agenka I have Saturday at 2:00 pm with Karla or 4:30 pm with Fer. Which works for you?
Client 4:30 with Fer. And do you do porcelain nails?
Agenka I'll check that with the team and get back to you shortly. Meanwhile, I've held Saturday at 4:30 pm with Fer for you. To confirm, all that's left is the $100 deposit, here's the link: [payment link]
Client Done, just paid
Agenka Got it! Saturday 4:30 pm with Fer, gel polish. I'll send you a reminder on Friday. See you at Av. Chapultepec 120.

Look at the porcelain question. The AI didn't say yes or no, and it didn't invent a price. It left you a notification in the dashboard and moved on with what it did know. You answer that when you can.

What you need to turn it on

Three things, and you probably have two of them already:

  • Your usual WhatsApp Business number. You don't change numbers or lose your chats; the AI connects on top and you keep seeing everything from your phone.
  • Your information loaded in the dashboard: services with price and duration, each person's hours, policies. If you've already set up your booking site, this is done. The rest is a free-form text with your business's frequently asked questions, in your words.
  • A clear rule for when you want it to hand over the conversation. By default it does so when it doesn't know, when it detects frustration, or when the person asks to talk to someone. You can adjust that.

The WhatsApp receptionist comes with the Pro plan, $649 pesos a month, with 200 conversations included. You can try it for 14 days with no card. If in the end you'd rather keep answering yourself, the site and the calendar keep working without it.
